Job description
The Resident Care Specialist provides a wide range of support services to the nursing department such as phone coverage, processing and overseeing records, completing the nursing work schedule and ordering supplies.
Essential Functions and Responsibilities:
- Works directly with nursing management staff to create and manage the daily work schedule for all nursing staff to ensure proper shift coverage for resident care.
- Receives and responds to daily shift changes due to PTO requests, call ins and last-minute interruptions in staffing levels. Regularly communicates and updates nursing management team of daily coverage, assignments and potential gaps in coverage.
- Explains and trains new hires on facilitating schedule process ensuring understanding of their schedule responsibilities.
- Working with Administrator and DON, adjusts labor levels accordingly to respond to changes in census or resident care needs.
- Processes record release requests, sends records to storage, and retrieves records as needed.
- Performs record checks as needed to ensure records are complete. Sends incomplete records to clinical manager for completion.
- Responsible for locating and filing/scanning all medical records for resident visits in a timely manner.
- In collaboration with nurse leaderships, is responsible for the receipt, storage and distribution of supplies, equipment and furnishings to the nursing department.
- Meets and greets all new admissions ensuring that their room is properly prepared with name tags, supplies/equipment as needed, etc. Orients the new residents to their room and proper use of call light system, etc. Takes resident picture and properly uploads to PCC.
- Supports the nurse’s station communications by prompt and courteous communications regarding emails, phone messages, etc. Shares information as necessary with appropriate staff.
- May perform resident care duties on the floor as needed.
· Demonstrates high standards of excellence for meeting resident needs. Communicates effectively, establishes rapport and maintains relationships with residents.
· Meets requirement of regular attendance to perform job duties.
· Possesses understanding and compassion for the elderly population.
On Call.

Education/Experience
· High School Diploma or equivalency (required)
- CNA/CMA (required).
- Previous experience in working in a nursing department performing general administrative functions to include one (1) year experience in handling medical records required.
- ICD-10-CM coding capabilities, preferred.
- Previous experience and knowledge of the ordering of medical supplies, preferred.
- Strong organizational and accurate attention to detail.
- Adaptable to changing work assignments.
Continuing Educational Requirement
- Required to complete annual 12-hour in-service training programs. Failure to complete the 12-hour in-service training program, or any other requirement under internal policies, local, state, or federal law may result in termination.
Physical Activity Requirements
· Lifting – may be called upon to life equipment or supplies weighing up to 30 lbs. Will occasionally be required to carry objects including charts and equipment up to 30 lbs. Push/Pull requirements of 40 lbs. are common.
Other physical requirements – while performing the duties of this job, the employee is frequently required to walk and talk or hear. Occasionally required to stand and sit; use hands to finder, handle or feel; reach with hands and arms; climb or balance; stoop, kneel crouch or crawl.
